Email migration services in London

Move your business email to Google Workspace or Microsoft 365 with every email, folder, contact and calendar carried across, and no lost mail on the day you switch.

Email is the one system you cannot switch off

Your team can live without a new website for a week. They cannot live without email for an hour. A rushed migration means missing messages, broken calendars, phones that stop syncing and staff who cannot log in on Monday morning.

We plan every migration so the switch happens out of hours, mail keeps flowing throughout, and your team logs in the next morning to find everything where they left it.

Google Workspace or Microsoft 365?

Both are good platforms. The right one depends on how your team works.

Google Workspace Microsoft 365
Email and calendar Gmail and Google Calendar, in the browser or apps Outlook, on desktop, browser and phone
Documents Google Docs, Sheets and Slides, built for working in the browser Word, Excel and PowerPoint, desktop apps included in most plans
Files Google Drive and shared drives OneDrive and SharePoint
Meetings and chat Google Meet and Google Chat Microsoft Teams
Suits teams who Work mainly in the browser and collaborate on the same documents Rely on desktop Office files, Excel models or Teams

If you are not sure, we will ask a few questions about how your team works and recommend one.

Signs it is time to move

  • Your email still comes from your web host, with small mailboxes and no spam protection to speak of.
  • Staff use personal Gmail or Outlook accounts for work.
  • Mailboxes are full and people delete email to make space.
  • Calendars and contacts do not sync to phones.
  • Your emails land in customers' spam folders.
  • You are merging two businesses or leaving an IT provider.

Office 365 migration services

Microsoft 365, still often called Office 365, is the most common destination for our clients. We move mailboxes from Google Workspace, hosting providers, Exchange servers or another Microsoft 365 tenant, set up licences and security, and configure Outlook on every computer and phone. If you are joining two businesses or moving away from a reseller, we handle tenant-to-tenant migrations too.

Google Workspace migration

For teams moving to Gmail, Google Calendar and Drive, we use Google’s own migration tools or a dedicated migration service, depending on the size and source. We set up users, groups, shared drives and security, and show your team how to work with Gmail if they are used to Outlook.

How a migration works

  1. 1

    Audit

We list every mailbox, alias, shared mailbox, group and device, check how much data there is, and review your domain and DNS settings.

  2. 2

    Plan

A written plan with the method, the cutover date and time, what your team needs to do (usually very little) and how we will roll back if something goes wrong.

  3. 3

    Set up the new system

Users, licences, groups, shared mailboxes, security settings and multi-factor authentication, ready before any mail moves.

  4. 4

    Copy the data

We copy existing email, contacts and calendars to the new system while the old one keeps working. Nothing changes for your team yet.

  5. 5

    Cut over

Out of hours, we switch your domain's mail records so new mail arrives in the new system, then run a final sync to catch anything sent in the meantime.

  6. 6

    Set up devices

Outlook, Gmail and phones connected to the new accounts, in person or remotely.

  7. 7

    Support

We are on hand the next working day, and for the following weeks, to fix anything that does not look right.

DNS

The DNS changes, in plain English

A migration changes a few records on your domain. Getting them right is what keeps mail flowing and out of spam folders.

MX records
MX records tell the internet where to deliver your email. Changing them is the moment of the switch.
Autodiscover
Autodiscover lets Outlook find the right settings automatically, so staff do not have to enter them.
SPF
SPF lists the services allowed to send email for your domain.
DKIM
DKIM adds a digital signature to every email, proving it really came from you.
DMARC
DMARC tells receiving servers what to do with email that fails those checks, and sends you reports.

Since 2024, Google and Yahoo have required bulk senders to set up SPF, DKIM and DMARC, and Microsoft introduced similar rules for Outlook.com in 2025. Even small businesses see more mail land in spam without them. We set all three up properly as part of every migration.

Avoiding downtime

We lower your DNS time-to-live settings a few days ahead, so the switch spreads quickly. Data is copied in advance, so the cutover only moves the last few hours of mail. The switch happens in the evening or at the weekend, and we run a final sync afterwards. Your old system stays available until we have checked that everything arrived.

Security and data protection

Every new account gets multi-factor authentication, admin rights are limited to the people who need them, and old access is closed once the move is complete. We handle your data under UK GDPR, only access what the migration needs and can sign a data processing agreement. [to confirm: DPA available]

How long it takes

Business size Typical timeline
Up to 10 mailboxes About 1 week from audit to cutover
10 to 50 mailboxes 2 to 3 weeks
50+ mailboxes or Exchange servers 3 to 6 weeks, often in stages

[to confirm timelines]

The cutover itself usually happens in a single evening. Very large mailboxes or slow source servers can take longer to copy, which is why we start the copy early.

Email, domain and website together

Email lives on your domain, and so does your website. Many problems we fix come from changing one without checking the other: a new website host that breaks email, or a migration that forgets the records the website relies on. Because we build and host websites as well, we check both. See our web development service.

Honest limit: We are not a full managed IT provider for large offices. We handle email migrations, domains, DNS and the IT that sits around your website. If you need a helpdesk for a big team, we will tell you, and can recommend one. [to confirm wording, given IT support is planned as a future service]

FAQs

Email migration: frequently asked questions

Straight answers. If yours is not here, ask us and we will reply within one working day.

New mail keeps arriving throughout. Your team may need to sign in again on their computers and phones the next morning, and we help with that.

Very little. We will ask for admin access to the old system and your domain, and for each person to sign in to their new account on the day.
